FAQ

Questions I hear often

Don’t see your question here? Reach out — I’m happy to help.

Bookkeeping & QuickBooks

Do you work in bookkeeping systems other than QuickBooks Online?

For monthly bookkeeping, I work exclusively in QuickBooks Online. It lets me keep your books accurate, secure, and up to date without any guesswork. For cleanup and catch-up projects, I can work in other systems, and if you’re ready to switch, I’ll set your business up in QuickBooks Online the right way from day one.

Do you process payroll?

I don’t process payroll myself, but I make sure it’s recorded correctly. I’ll work with your payroll provider and your QuickBooks Online account so every payroll entry is accurate and reconciled each month.

I’m months or years behind on my books. Can you still help?

Absolutely, and you’re not alone. Catch-up work is one of my specialties. I’ll bring your books current, correct any errors, and reconcile everything to your bank statements, so you can move forward with a clean slate.

Can you work with my existing QuickBooks file, or do I need to start over?

In most cases I can work with your existing file. I’ll review it first, and if it needs cleanup, I’ll fix it. Starting over is rare, and if I recommend it, I’ll explain why.

How long does a cleanup project take?

It depends on how far behind the books are and how many accounts are involved. Many projects take two to six weeks. I’ll give you a timeline in your proposal, so you know what to expect.

Who pays for the QuickBooks Online subscription?

You keep your own QuickBooks Online subscription, so your books always belong to you. If you don’t have one yet, I can help you choose the right plan, often at a discount through my ProAdvisor account.

Getting started

What happens during the free consultation?

It’s a relaxed 30-minute call. I’ll ask about your business or tax situation, what’s working, and where you’d like help. Then I’ll explain how I can help and what it would cost. There’s no obligation.

Do you work with clients outside Pasco County?

Yes. I love working with local clients, but everything I do can be handled virtually. I’m happy to work with you wherever you are.

Pricing & billing

How do you set your price? Do you bill hourly?

I charge flat fees, not hourly, so you’ll know the cost before any work begins. Pricing depends on the size and complexity of the work, and I’ll give you a firm quote after our free consultation.

Is there a contract, or can I cancel anytime?

Monthly bookkeeping is month to month. If you ever decide to stop, just give me 30 days’ notice. I’d rather earn your business every month than lock you in.

How do I pay you?

I accept credit card and ACH bank transfer. Monthly bookkeeping is billed automatically each month, and project work is invoiced as agreed in your proposal.

Taxes

What should I bring to my tax appointment?

Your tax documents, such as W-2s, 1099s, and mortgage and investment statements; last year’s return; and anything new, like a home purchase, a new child, or a new business. I’ll send you a checklist beforehand so nothing is missed.

When should I get my documents to you?

The earlier, the better. I recommend sending everything by mid-February for business returns and early March for individual returns. That gives me time to do the work carefully and ask questions without rushing against the deadline.

Do you prepare state returns?

Yes. Florida doesn’t have a personal income tax, but corporations may need to file a Florida corporate income tax return, and I prepare those. If you have income in another state, I’ll handle that return too.

Can you help if I haven’t filed in a few years?

Yes, without judgment. I’ll help you gather what’s needed, prepare the missing returns, and get you back in good standing with the IRS. The sooner we start, the more options you’ll have.

Can you help me respond to an IRS letter or notice?

Yes. Don’t panic, and don’t ignore it. Send it to me, and I’ll explain what it means and help you respond. As a CPA, I can also represent you with the IRS if needed.

Do you help with tax planning or estimated payments?

Yes. Planning ahead is the best way to avoid surprises at tax time. I can calculate your quarterly estimated payments and look for ways to reduce your tax bill throughout the year, not just in April.

Working together

How do I send you documents securely?

Please don’t email Social Security numbers or tax documents. Once we start working together, I’ll set you up with my secure client portal, where you can upload documents safely and find everything in one place.

How quickly do you respond to calls and emails?

I reply within one business day, and usually sooner. During tax season it may take a little longer, but you’ll always hear back from me personally.
